How to archive accounts receivable and sent it to the accountant without sending it to the customer?

You can send outgoing invoices to the accountant without (re)sending them to the customer (even if they come from external software). To do this, follow the steps below.

Steps:

Assign the Archive accounts receivables user role

Go to your Settings and then click Users

Click on the user and activate the option Archive sales invoices without delivery to the customer

Activate the option Sales invoices that were archived directly delivery to the customer get forwarded to your accountant

Each directly archived document is sent to the VASes. When your accounting app is active, all your documents are sent to the accountant.

Go to your Settings and click on Outbound

Go to Archive and activate the option Send archived documents directly to VASsen as well.

/!\ WARNING /!\

If this option is NOT active, your documents will not be forwarded to the accountant. You can no longer vorward them afterwards. Make sure you activate this option in advance.

Choose the payment status of archived documents

  • In the Automation settings, go to Archive invoices directly. Under financial status of archived documents you choose te payments status (unknown or paid) of a document that was archived via this method.

    Note: if you use an invoicing software, you can create your API key here to archive documents directly via the software. You enter this 'key' into your software program to make the link with Banqup. You can find more information about this in the documentation of your software program.

Archiving without sending to the customer

In the accounts receivables you can archive in two ways:

  • Through a large selection of outgoing invoices.

  • Via the Archive button which you will find on the invoice detail page

Documents uploaded via the archive connector (API key) will be archived immediately if:

  1. The XML file is valid:

  2. The document is not a duplicate and the setting block sending duplicate documents is activated:

  3. All metadata is present.
    Note: if not all metadata is present, the documents will be sent to the corresponding module (inbound or outbound). The user must must then manually fill in the missing data before archiving. To do this, the user must have the Archive Accounts Payable and Archive Accounts Receivables user roles.

If a customer or supplier of an invoice has already been added to your account, the link will be performed automatically.
